THE RESERVATIONS
Ultimate Safaris Ltd requires a minimum deposit of 30% of the total price to confirm your safari with balance of payment due 40 days prior to your departure of the tour. Reservations will be cancelled if final payment is not received by the due date with full loss of deposit. Any changes made within 40 days of the tour departure date will be charged at the cancellation penalties outlined. For overseas bookings and non-residents of Tanzania, payments should be in US dollars, UK Sterling or Euro. Residents pay in local currency at the rate of exchange applicable at the time of payment. The company reserves the right to withhold all or part of the service (at its sole discretion) if payment is not received in accordance with the above conditions.

LATE BOOKINGS
Full payment is due at the time of booking for reservations made within 40 days prior to the commencement of tours.

MODIFICATION OF TOURS
If you choose to modify the arrangements after the commencement of the tour i.e. change accommodation or the duration of your stay, the company can accept no liability for any loss or additional expense incurred and no refunds will be made.

CANCELLATION OF TOURS
Should you wish to cancel your confirmed booking, you must advice the company in writing. The following charges will apply from the date on which written notification is received by the company:
More than 40 days prior to departure: 20%
22-40 days prior to departure: 30%
02-14 days prior to departure: 75%
Within 48 hours and after commencement of holiday: 100% once the holiday has commenced no refund will be made. The figures expressed are the total tour price.
All cancellations must be made in writing to Ultimate Safaris Ltd and will be charged a cancellation penalty, depending on the number of days before the tour departure.

IMPORTANT INFORMATION
• There is no refund for any unused portion of your safari once commenced. Cancellation penalties on airfares are additional and are not included in the above cancellation charges. Cancellation Insurance for the total land tour cost is suggested.
• Ultimate Safaris is not responsible for any changes in airline schedules, airfares, cancellations, loss or damage to baggage and over booking. All claims for any loss or injury suffered on any airline must be made directly with the airline involved and not Ultimate Safaris.
• The accommodations described in this brochure may not be available and may be substituted for comparable accommodations. Single rooms may not be available in certain situations due to very limited capacity of hotels and lodges in Tanzania.
• Tour costs are based on known costs and rates of exchange at the date of insert and any significant changes beyond the control of Ultimate safaris will be passed to passengers. Tour costs also include expenses incurred by Ultimate safaris for printing and distribution, advertising, sales and marketing, promotion, provision of toll free reservation service, fax charges, and a commission to your travel agent who handles your reservations and assists you with obtaining necessary visas.

RATES / PRICES
Tour prices includes: All expenses for drivers and vehicles appropriate for the itinerary as set out (i.e. for transfers, game drives, drivers’ lodgings) unless stated in the itinerary; Government taxes, training levies and service charges, All entry fees except where specifically indicated separately; Normal communication costs required to make the reservation.
Tour prices excludes: personal insurance; Airport taxes; Landing fees (for charters); Visas; Gratuities to drivers and porters (other than hotel service charges); Beverages; Laundry; Other personal expenses of tour members (i.e. telephone calls etc); Any tour services requested that do not appear in the itinerary.
